Here at Heaven Publicity, we take your privacy very seriously and we are committed to protecting the privacy and security of everyone we work with and for.

This privacy policy (the policy) explains how we collect and use your personal information. Within this policy we may refer to Heaven Publicity by its name or using we/us/our.

For the purposes of applicable data protection laws, including the EU General Data Protection Regulation (“GDPR”) (as amended or superseded) Heaven Publicity is the “controller” of the personal information it collects.

HOW WE COLLECT PERSONAL INFORMATION FROM YOU:

The information we collect varies depending on the type of contact and services we are providing to you:

  • When you make your information available through a third-party software (such as Cision, Vuelio) and where we feel there is a legitimate interest
  • When you accept an invitation to attend an event organised by us on behalf of one of our clients
  • When you attend a press trip organised by us on behalf of one of our clients

When you attend a press trip, we ask you to complete and return to us our media request form. With your consent, we collect this information in order to make the necessary arrangements/bookings for the press trip and sometimes in order to fulfil our legal obligations.

  • When you contact us by telephone, e-mail, or via social media
  • When you apply for a job with us or if you submit a speculative CV to us for us to consider

This may be by email, telephone or through third-party websites such as LinkedIn, Twitter etc.  The personal information we collect about you may include your name, contact details, employment history, and any information set out in your CV.

HOW WE USE YOUR INFORMATION:

  1. Where we have a legitimate interest in using your personal information:
  • For the distribution of press releases or similar business-focused activity
  • For invitation to an event or press trip being managed by Heaven Publicity on behalf of one of its clients
  • To analyse any feedback that you provide on our services, and to improve our services
  • To respond to any questions or comments you may have addressed to us through our systems, email, social media, by telephone or using a third-party system to which both parties are subscribed
  • To review and assess any job application that you submit to us

  • In order to arrange/supply services that you have agreed to. For example, the reservation/booking of services for an event or press trip
  • If you have applied for a role with us or submitted a speculative CV which contains information personal to you

HOW WE SHARE INFORMATION ABOUT YOU:

We are very committed to protecting your personal information. We share that information with our clients and any relevant suppliers when you accept an invitation from us to attend an event or press trip, in order to make the necessary arrangements for us to supply those services to you efficiently and effectively. This may include to destinations, tour operators, airlines, hotels, restaurants and suppliers of any activities. We only share information when you have accepted or asked us to provide a service. We will also share your information when there is a legal requirement to do so.

HOW LONG WE KEEP YOUR INFORMATION:(“Data Retention Period”).  

We will retain the information you provide for the following periods:

  • for as long as you subscribe to our third-party systems such as Cision/Vuelio
  • for as long as we feel there is a legitimate interest and mutual benefit in you receiving press releases/updates/invitations
  • In line with the consent given to us on any email, media request forms or other submitted forms

In determining how long will we hold information, we consider whether we have a legitimate on-going interest, as well as to cover regulatory requirements, and for the resolution of disputes or fraud prevention.

HOW WE STORE YOUR INFORMATION:

Your information may be processed by our staff, or by contractors working for us and by the staff of our suppliers to the extent that it is necessary to fulfil the agreed services. By submitting your personal information to us, you agree to the transfer of your personal information, its storage and processing.

We keep the data which we collect from you on a secure server and we use encrypted secure server technology.  We use strict procedures and appropriate security features to try to prevent unauthorised access and require our suppliers to do the same.

SENSITIVE PERSONAL INFORMATION:

We do not need, seek nor use sensitive personal information (i.e. information relating to race or ethnic origin, political opinions, religious or other beliefs, trade union membership, sexual orientation or criminal records).

YOUR RIGHTS

You may have certain rights in relation to personal information that we hold about you. These include the right to request access to your personal information, to request that it is erased, that its processing is restricted, or that any inaccurate personal information is rectified.
